I need to move Bar|Scan from one server to another, how do I do this?

If you only need to move the Bar|Scan Application and are not performing a Bar|Scan Application upgrade to a new version, then this is a straightforward process that does not require any Bar|Scan Installation CD or download from our website.

This summary does not include the BarScan Smart Client.  If you have installed the Bar|Scan Smart Client, please contact BarScan technical support techsupport@barscan.com  in advance for any assistance that you may require.

There are several issues that must be addressed:

1. Computer Privileges or Permissions.  You will need to make sure that your Server Administrator has setup your BarScan User Group with exactly the same access privileges on the new server location as you had on the old server location.  Do not reduce the level of access privileges on the new server.  Remember that BarScan controls user access, not Windows.

2. Workstation shortcuts.  All shortcuts on all workstations will need to be pointed to the new location of the BarScanw.exe application.  This can be done by remoting into each PC.  If the new server uses the same network path as the old server, then the shortcuts do not need to be updated.

3. If the network path is different or you are using a different drive mapping then this section applies.  Otherwise skip.

Current default company within BarScan – Each BarScan user has a default company that their account opens when they log in.  The default company needs to be changed from the company folder on the old server to the company folder on the new server.  This can be done in several different ways, but is typically done by logging into BarScan as the end user and then closing the old company on the old server (File-> Company-> Close) and then using the same login, opening the new company on the new server (File-> Company-> Open).

4. Handheld Synchronization Settings.  Most customers will not need to address this.  However, if you are using custom IP address for Synchronization, you may need to modify these to match the new server.

Summary of how to perform the Move:

1. Obtain one of the BarScan master user (adminsitrator) login credentials.
2. Schedule a time for the move and notify all users that Bar|Scan will not be available.
3. Log into BarScan using the master user credentials.
4. Turn on the global user lock. This locks out all users. Wait until there are no more users logged in.  The Knowledge Base Article How can I log everyone out of Bar|Scan explains this process.  You may have to contact people to have them exit, so having phone numbers and/or emails can be useful.
5. Copy the entire BarScanw folder containing all of the BarScan data and the BarScan program (BarScanw.exe) to the new server.  This will mean copying folder \oldserverBarScanw and all of its subfolders and files to folder \newserverBarScanw.  When completed, it is recommended that you rename \oldserverBarScanw to something like \oldserverBarScanwOld so that there will be no accidental access by end-users after the move.
6. If the network path is different or you are using a different drive mapping then remote into each user workstation and create a new shortcut pointing to the new location of the BarScanw.exe.  It is typically easier to create a new shortcut and then delete the old one rather than modifying the existing one.  Make sure that the ‘Start In’ folder is filled in and matches the ‘Target’ folder.

7. In Bar|Scan, turn off the global user lock (see Knowledge Base: “How can I log everyone out of Bar|Scan” previously referred to in this article.
8. If the network path is different or you are using a different drive mapping then log into BarScan as each user each in turn. You will close all companies for each user and then open the new default company on the new server.  This is done for each active user.  Note that you do not have to remote into the workstations to do this, but you do have to open companies using the network URL.  For example, if your user’s default company is on server \newserver and is in folder C:BARSCANWCOMPANY, you must open it using the path \newserverBARSCANWCOMPANY.
9. Verify that the privileges for the BarScan group are working properly.
10. If you have changed the default upload port and/or IP address for any of your handheld configurations then you may need to change these in BOTH the handheld configuration of your BarScan desktop application and in each handheld. These settings are global, in other words these changes are only done once for each configuration and handheld. Here is where the setting is located on your desktop application:
