Special Notes on Handheld Synchronization

Introduction

Synchronizing BarScan data on your handheld with BarScan on your PC is integral to getting the full functionality out of your BarScan system.  However, the synchronization process may at times seem complex.  One of the reasons is that BarScan supports two different methods of transferring data between the handheld and your workstation.  The first method is called “Network Sync”.  The second is called “USB Sync”.

How to Choose

We recommend that you perform your synchronization using “Network Sync”.  This is the default and requires no customization on the PC or handheld device.  The advantages to “Network Sync” are:

  1. This method is supported across all BarScan handhelds.
  2. If you have more than one model of handheld, there is no need to reconfigure the sync every time the handheld is put into the cradle.
  3. It establishes a direct Tcp/Ip network connection between the handheld device and the BarScan workstation or server receiving its data.  The handheld can sync with any computer accessible over the network, not just the computer it is physically attached to.
  4. It is the quickest and most reliable method of data transfer with a lower chance of needing retransmission of data.

It’s drawbacks are:

  1. It requires Microsoft Windows Mobile Device Center (WMDC) software to be installed on the workstation.  At times, installation of this product may be difficult due to company desktop, security or remote access standards.

In addition, “USB Sync” can only be used if a very specific set of circumstances are true.  The requirements are:

  1. You must be using a Zebra MC32oo or MC55X handheld.  These are newer model and support “USB Sync”.
  2. Your session of BarScan running on your network workstation must determine that it is allowable to present you with the option of using “USB Sync”.  If you do not see the drop down box containing “Network Sync” and “USB Sync” then you do not have the “USB Sync” option available from your workstation.  This option will normally display as follows:

If you satisfy all of the above requirement then you might consider using “USB Sync”.  Specifically, if you find yourself facing one of these situations:

  1. Company Firewalls are preventing communications with the handheld device.
  2. You are using a remote desktop to access BarScan on the PC and there is no way to network into the server hosting BarScan.
  3. Company policy does not allow desktop customization (i.e. you can’t be the only one with WMDC installed on your desktop).
  4. Company policy does not allow WMDC on workstations.
  5. Any other reason the WMDC cannot be installed on the workstation.

Normally your handheld can only transfer data to the computer to which it is physically attached (let’s ignore email synch for the moment).  It requires special setup on both the handheld device and on the PC, since it is not the default Sync mode.  However, its advantage is that it does not require that WMDC be installed on the Workstation.  However, it also has its own sometimes difficult requirement: it requires that workstation security be configured to allow USB devices.

There are many Tips available that describe various aspects of the Synchronization process using Tcp/Ip i.e., “Network Sync”.

Important: USB Synch requires that the BarScan handheld license file be present in the barscanwsysdbf folder.  If the license file is missing, you will receive the error message “Unable to copy file to Handheld Device.  Please reconnect the device and try again.”

If you really need TCP/IP Synchronization but without WMDC:

All currently supported BarScan handheld devices  support performing a Sync with Tcp/Ip using a connection into the local network.  The currently supported method of creating such a link is using Microsoft Windows Mobile Device Center (WMDC) software.  However, that is not the only way a handheld device can be connected into your network.  There are other ways, but they are currently unsupported.  However, just because they are unsupported does not mean that they cannot be made to work. For example:

  1. If the handheld device supports Wi-Fi, then a Wi-Fi connection can be created to the local network. Once the connection is configured and made, then the BarScan program on the handheld device can communicate over Tcp/Ip with BarScan on the PC.
  2. There is hardware both from Zebra and third parties that assists in making a connection into the local network.  Drivers and software may have to be installed on the handheld device in addition to configuring your device for your network.  For example:
    1. If you already have a handheld device and a cradle, there are “USB to Ethernet” adapters available from third parties.  Generally, installation of a driver on the handheld device and network setup on the handheld device are required.  For example, PortSmith Technologies has the “dataPort” adapter (http://www.portsmith.com/product/daptaport) that allows many handheld devices (such as an MC55) to connect through its cradle into your network.
    2. If you are willing to replace your existing cradle, you can purchase an Ethernet cradle. These are offered by Zebra, but the smallest contains four (4) slots for four handheld devices.  If you need a cradle with only one device slot, again PortSmith Technologies has single device Ethernet cradles that are usable by the Mc3200 (http://www.portsmith.com/product/motorola-mc3100mc3000-ethernet)  Check their website for your specific device.

If you decide on using the ‘USB Sync’ method

Only the newer Zebra handhelds support the USB method of synchronization.  There are specific setup requirements on both BarScan running on the PC (see above) and on the Handheld device.  However, once these have been satisfied, a Sync can be performed between the handheld device and BarScan on the PC, but without WMDC.  This synchronization method essentially causes the handheld device to look and act like a removable USB drive.  To use “USB Sync” you must configure both the handheld device and BarScan on the PC.

USB Sync, PC configuration

Configuring the PC to use the “USB Sync” is simple.  It consists of selecting the “USB Sync” option in the “Synchronize Handheld” screen BEFORE starting the sync operation with the “Begin” button.  Here you can see what a sample screen looks like.  It has had the ‘More…’ button selected to display all of the “USB Sync” screen.  The screen differs in both appearance and instructions from the “Network Sync” screen.  Also note the steps listed to perform the “USB Sync”.

USB Sync, Handheld Device Configuration

Configuring your handheld device for “USB Sync” requires configuration in both the operating system on the handheld and within the BarScan application.  First configure Windows Mobile, then configure the BarScan application.

Configuring Windows Mobile

To configure your handheld device for USB synchronization, perform the following steps:

  1. Select the “Start” or “Home” icon on your handheld device.
  2. Select “Settings”.   This will be either an icon or a menu item.

  1. Select “System” on Windows Mobile 6x devices, “Control Panel” on Windows Mobile 55 devices.

  1. Select the “UsbConfig” icon.

  1. Select the “USB Port Mode” tab.  Within this tab select “USB OTG Mode”.  This is the default.  This should also be the value for both USB and Tcp/Ip network mode.  This setting will allow automatic switching between host and client mode.

  1. Select the “USB Client” tab.  Within this tab select “Mass Storage”, then select “Platform”.

  1. Close all windows on the handheld and accept all changes.
  2. At this point the handheld device is configured for USB synchronization.  IMPORTANT – the handheld will not be able to connect using WMDC until the USB Client Mode has been set to “ActiveSync Serial” as shown in step 6 above.  To restore using  WMDC, follow all of the above steps until you are at the “USB Client Mode” tab.   There select the “ActiveSync Serial” setting rather than the “Mass Storage” setting.  Close all screens.

Configuring “USB Sync” in the BarScan handheld application

In the BarScan handheld application, select “Tools”, then “About”.  Select the “Sync” tab (you may have to scroll the tabs left or right if it is not visible).  Select “USB”.  Close all screens and return to the main menu.  At this time the handheld device is ready to perform a sync using the “USB Sync” method, as long as all handheld configuration has been completed.

Switching between ‘Network Sync’ and ‘USB Sync’:

If you have some devices configured to use “Network  Sync” and others “USB Sync” you will need to manually switch back and forth on the PC between these two modes.  After the “Synchronize Handheld” screen displays, select the appropriate option, either “USB Sync” or “Network Sync”.  The directions and the “More” screen will change as appropriate to the selected option.

You will not need to make any changes to the handheld devices unless you decide that you no longer want to use the type of Sync previously selected.  In that case, see the above instructions to change to “Network Sync” or “USB Sync” as desired.  Make sure that all steps are followed on both the PC and on the handheld device.

Bar|Scan Bar Code Asset Management System License Agreement

1. LICENSE

 A.            Upon acceptance of this License Agreement by Bar|Scan, Inc., you are granted a nonexclusive right to use the BAR|SCAN Bar Asset Management System (hereinafter called “Program”).  The Program consists of personal computer based software and software for one or more handheld computers.
B.            The personal computer portion of the Program can only be used on a single computer or single local area network consisting of one server.  A network is defined as any continuously connected group of computers on one cabling scheme without hardware or software bridges.  You may physically transfer the Program from one computer to another provided that the Program is used on only one computer or Local Area Network at a time.  The portion of the Program that resides in each of the handheld computers can only be used in one handheld computer at a time.  You may not distribute copies of the Program or documentation to third parties.  You may not modify or translate the Program or related documentation without the prior written consent of Bar|Scan, Inc.
C.            YOU MAY NOT USE, COPY, MODIFY, OR TRANSFER THE PROGRAM OR DOCUMENTATION, OR ANY COPY, EXCEPT AS EXPRESSLY PROVIDED IN THIS LICENSE AGREEMENT.  

2.  BACK-UP AND TRANSFER

 You may make one (1) copy of the personal computer based software solely for your back-up purposes.  You must reproduce and include the copyright notice on the back-up copy.  

3.  COPYRIGHT

 The Program and its related documentation are copyrighted.  You may not copy the Program documentation.  Bar|Scan, Inc. does warrant to you that it owns all the copyrights in the Program and has full power and authority to grant you the perpetual License thereof.  

4.  TERM OF AGREEMENT

 This is a perpetual License effective until terminated.  You may terminate it by destroying the Program, documentation and all copies thereof.  This License will also terminate if you fail to comply with any term or condition of this Agreement and do not correct the term or condition to the satisfaction of Bar|Scan, Inc. within five  (5) working days of discovery.  Upon such termination you shall destroy all copies of the Program and documentation therefore.  

5.  LIMITED WARRANTY

 A.            EXCEPT FOR ERRORS IN SOFTWARE AS DELINEATED IN SECTION SEVEN (7), THE PROGRAM IS PROVIDED “AS IS” WITHOUT WARRANTY OF ANY KIND, EITHER EXPRESSED OR IMPLIED, INCLUDING, BUT NOT LIMITED TO, THE IMPLIED WARRANTIES OF MERCHANTABILITY AND FITNESS FOR A PARTICULAR PURPOSE.  THE ENTIRE RISK AS TO THE RESULTS AND PERFORMANCE OF THE PROGRAM IS ASSUMED BY YOU.
B.            Bar|Scan, Inc. does not warrant that the functions contained in the Program will meet your requirements or that the Program will operate error free.
C.            Bar|Scan, Inc. does warrant to you that the Compact Disc on which the Program is recorded and free from defects in materials and workmanship under normal use and service for a period of thirty (30) days from the date of shipment to you.
D.            YOUR SOLE AND EXCLUSIVE REMEDY IN THE EVENT OF A DEFECT IS EXPRESSLY LIMITED TO REPLACEMENT OF THE DISKETTE AS PROVIDED ABOVE.  IN NO EVENT WILL BAR|SCAN, INC. BE LIABLE TO YOU FOR ANY DAMAGE, INCLUDING ANY LOST PROFITS, LOST SAVINGS OR OTHER INCIDENTAL OR CONSEQUENTIAL DAMAGES ARISING OUT OF THE USE OR INABILITY TO USE ANY PROGRAM PRODUCED BY BAR|SCAN, INC.  

6.  ERRORS IN SOFTWARE

 A.            For a period of ninety (90) days after acceptance of this Agreement, if you notify Bar|Scan, Inc., in writing, of Program error(s) or Bar|Scan, Inc. has other reason to believe that error(s) exist in the Program, Bar|Scan, Inc. shall use its best efforts to verify and fix the error(s) within ten working days after receipt of your notification.  In general, errors which cannot be reproduced by Bar|Scan, Inc. will be considered to be due to hardware or non-program software and will not be corrected by Bar|Scan, Inc.  We shall promptly notify you if an error cannot be verified within a reasonable time. Program error(s) which occur after (90) days shall be corrected at Bar|Scan Inc.’s sole discretion.
B.            Bar|Scan, Inc. shall have the right to make any Program enhancements.  Within the first year of the date of installation, you are entitled to upgrades at no charge.  After one year from date of installation, if you have purchased Bar|Scan Annual Support, you are entitled to upgrades containing enhancements at no charge, otherwise, if you have not purchased Annual Support, you will have the option of purchasing enhancements at a cost determined at the time of release.  

7  ARBITRATION

 Any dispute relating to the interpretation or performance of this Agreement shall be resolved at the request of either party through binding arbitration.  Arbitration shall be conducted in Ventura County, California, in accordance with the then-existing rules of the American Arbitration Association.  Judgment upon any award by the arbitrators may be entered by the state or federal court having jurisdiction thereof.  

8.  MISCELLANEOUS

 This License Agreement shall be governed by the laws of the State of California and shall inure to the benefit of Bar|Scan, Inc., its successors, administrators, heirs, and assigns.  

9.  ACKNOWLEDGMENT

Bar|Scan Bar Code Asset Management System License Agreement

1. LICENSE

 A.            Upon acceptance of this License Agreement by Bar|Scan, Inc., you are granted a nonexclusive right to use the BAR|SCAN Bar Asset Management System (hereinafter called “Program”).  The Program consists of personal computer based software and software for one or more handheld computers.
B.            The personal computer portion of the Program can only be used on a single computer or single local area network consisting of one server.  A network is defined as any continuously connected group of computers on one cabling scheme without hardware or software bridges.  You may physically transfer the Program from one computer to another provided that the Program is used on only one computer or Local Area Network at a time.  The portion of the Program that resides in each of the handheld computers can only be used in one handheld computer at a time.  You may not distribute copies of the Program or documentation to third parties.  You may not modify or translate the Program or related documentation without the prior written consent of Bar|Scan, Inc.
C.            YOU MAY NOT USE, COPY, MODIFY, OR TRANSFER THE PROGRAM OR DOCUMENTATION, OR ANY COPY, EXCEPT AS EXPRESSLY PROVIDED IN THIS LICENSE AGREEMENT.  

2.  BACK-UP AND TRANSFER

 You may make one (1) copy of the personal computer based software solely for your back-up purposes.  You must reproduce and include the copyright notice on the back-up copy.  

3.  COPYRIGHT

 The Program and its related documentation are copyrighted.  You may not copy the Program documentation.  Bar|Scan, Inc. does warrant to you that it owns all the copyrights in the Program and has full power and authority to grant you the perpetual License thereof.  

4.  TERM OF AGREEMENT

 This is a perpetual License effective until terminated.  You may terminate it by destroying the Program, documentation and all copies thereof.  This License will also terminate if you fail to comply with any term or condition of this Agreement and do not correct the term or condition to the satisfaction of Bar|Scan, Inc. within five  (5) working days of discovery.  Upon such termination you shall destroy all copies of the Program and documentation therefore.  

5.  LIMITED WARRANTY

 A.            EXCEPT FOR ERRORS IN SOFTWARE AS DELINEATED IN SECTION SEVEN (7), THE PROGRAM IS PROVIDED “AS IS” WITHOUT WARRANTY OF ANY KIND, EITHER EXPRESSED OR IMPLIED, INCLUDING, BUT NOT LIMITED TO, THE IMPLIED WARRANTIES OF MERCHANTABILITY AND FITNESS FOR A PARTICULAR PURPOSE.  THE ENTIRE RISK AS TO THE RESULTS AND PERFORMANCE OF THE PROGRAM IS ASSUMED BY YOU.
B.            Bar|Scan, Inc. does not warrant that the functions contained in the Program will meet your requirements or that the Program will operate error free.
C.            Bar|Scan, Inc. does warrant to you that the Compact Disc on which the Program is recorded and free from defects in materials and workmanship under normal use and service for a period of thirty (30) days from the date of shipment to you. D.            YOUR SOLE AND EXCLUSIVE REMEDY IN THE EVENT OF A DEFECT IS EXPRESSLY LIMITED TO REPLACEMENT OF THE DISKETTE AS PROVIDED ABOVE.  IN NO EVENT WILL BAR|SCAN, INC. BE LIABLE TO YOU FOR ANY DAMAGE, INCLUDING ANY LOST PROFITS, LOST SAVINGS OR OTHER INCIDENTAL OR CONSEQUENTIAL DAMAGES ARISING OUT OF THE USE OR INABILITY TO USE ANY PROGRAM PRODUCED BY BAR|SCAN, INC.  

6.  ERRORS IN SOFTWARE

 A.            For a period of ninety (90) days after acceptance of this Agreement, if you notify Bar|Scan, Inc., in writing, of Program error(s) or Bar|Scan, Inc. has other reason to believe that error(s) exist in the Program, Bar|Scan, Inc. shall use its best efforts to verify and fix the error(s) within ten working days after receipt of your notification.  In general, errors which cannot be reproduced by Bar|Scan, Inc. will be considered to be due to hardware or non-program software and will not be corrected by Bar|Scan, Inc.  We shall promptly notify you if an error cannot be verified within a reasonable time. Program error(s) which occur after (90) days shall be corrected at Bar|Scan Inc.’s sole discretion.
B.            Bar|Scan, Inc. shall have the right to make any Program enhancements.  Within the first year of the date of installation, you are entitled to upgrades at no charge.  After one year from date of installation, if you have purchased Bar|Scan Annual Support, you are entitled to upgrades containing enhancements at no charge, otherwise, if you have not purchased Annual Support, you will have the option of purchasing enhancements at a cost determined at the time of release.  

7  ARBITRATION

 Any dispute relating to the interpretation or performance of this Agreement shall be resolved at the request of either party through binding arbitration.  Arbitration shall be conducted in Ventura County, California, in accordance with the then-existing rules of the American Arbitration Association.  Judgment upon any award by the arbitrators may be entered by the state or federal court having jurisdiction thereof.  

8.  MISCELLANEOUS

 This License Agreement shall be governed by the laws of the State of California and shall inure to the benefit of Bar|Scan, Inc., its successors, administrators, heirs, and assigns.  

9.  ACKNOWLEDGMENT
